Good evening,
 
1.  Room Changes-   Please see attached schedules and team room. The schedule is the same except that some rooms needed to be changed. Team rooms have changed as well.  A map of the building with the events will be emailed later in the week.  Copies of schedules and maps will be in your team envelope received at registration from 6:30- 7:30 am. 
 
2. Deadlines: 
  • Pizza lunch order:  Please place your order by Wednesday at 12:00.  $20 a pie, pay at registration pizza delivered to your team room at lunch time (11:10).  
  • Self select event sign ups close Friday at 9:00am 
2. Event Items: 

 

  • Road Scholar: Teams will need to obtain the AAA Map of Colorado and Wyoming.  Regional Tournament Tests are being written specifically for the May 2023 version which contains a red logo.  AAA offices should have this version available.
  • Wind Power:  Bring a copy of charts to be submitted/ scored to the exam. 
  • Tower:  has an impound. 
  • Schools with Multiple teams and building events:  Each teams device must have a functional difference. The exception is if the item can be made from a purchased kit and is built with no modifications ie- Flight.  
4.  Everyone associated with your team must be wearing the wristbands received at registration. - ALL 15 COMPETING STUDENTS MUST HAVE WRISTBANDS IN ORDER TO PARTiCIPATE IN A REGULAR OR TRIAL EVENT.  4 wristbands for alternate students who may only compete in trial events (Fast Facts, Wind Power) 2 Coaches wristbands- Should your team need to speak to someone at HQ or meet a student at a team room it must be the coach who is listed on your official registration and is assigned to wear the wristband.

1.    Registration on Saturday March 2th  6:30am – 6:00pm:   (SNOW DATE SUNDAY MARCH 3rd)

 

Please have your team at Scarsdale by 7:00 at the latest. Impounds start at 7:15 and events start at 8:00. Registration will be outside the Auditorium. The buses will be directed (by our custodians) to the lower Popham circle. The Auditorium is on the right.  This way we do not have to worry about any of the buses not fitting by our bus ramp and Impound events are not far.

1.    Final Student registration  - This form needs your Principal, students and coaches signatures.

 

2.    Alternate Student registration- This form needs your Principal, students and coaches signature.

 

3.    Code of Conduct- This forms needs student and coaches signatures.

 

4.    Alternate Code of Conduct- This forms needs student and coaches signatures.

 

5.    Vandalism- This requires you to review with your students and have Principal, and coaches signatures.

 

6.    Publicity forms: ALL students and ADULTS  bring must fill out this form.   This is a required form.  If a parent does not want to sign this form the student is not allowed to participate in the competition. 

 

7.    Medical Forms:  ALL students and ADULTS  bring must fill out this form.   Does NOT require a doctors signature only a parent signature. Students must carry all emergency life saving medications such as Epi pens and Inhalers with them.   This form will be checked but not submitted. Coaches need to have them with them in case of an emergency. There is no Medical staff on site. 911 will be called for all situations.

 

2.    Team Envelopes:  Received at registration. In your envelope you will receive:

 

§  15 WRIST BANDS for competition Everyone associated with your team must be wearing the wristbands received at registration. - ALL 15 COMPETING STUDENTS MUST HAVE WRISTBANDS IN ORDER TO PARTCIPATE IN A REGULAR OR TRIAL EVENT. 

§  4 wristbands for alternate students who may only compete in trial events (Fast Facts, Wind Power)

§  2 Coaches wristbands- Should your team need to speak to someone at HQ or meet a student at a team room it must be the coach who is listed on your official registration and is assigned to wear the wristband. 

§  Copies of the schedule with the map of the building with room and events.

§  Certificates of Participation for the students,

§  Certificates of appreciation.  Should you need more of either of the certificates they will be in Headquarters and please help yourself to as many as you need.  

 

 

 

 

 

 

 

 

3.     During the day of the competition:

 

Start getting your kids to impound(s) or 8:00 events. If you are new to Science Olympiad, there are no bells. When not in events competitors can be in their team room, The great Hall, Outside the main entrance eating) or watching events in the gym, auditorium and great hall. Team rooms must be supervised at all times. After the competition is over, please have your students pick up the team rooms, get their projects, and pack everything on the buses. Please video tape your team rooms before your students enter and after you have finished cleaning.  You team room MUST be inspected before you leave. Buses cannot pass each other in the pickup area.

 

4.     

Food: 

·      You may pre order pizza and have it delivered to your team room.  $20 a pie. Just email me with your quantity. Please pay with cash at registration. Snacks, beverages and other items may be purchased in the great hall at our snack stand.  It is a fund raiser for our school.

·      Complimentary coffee and water for coaches (I don’t turn away parents either).

·      Food may be delivered to the building. You must meet the delivery person at the main entrance. The security guard will not be responsible for accepting deliveries or contacting you. You may bring in food for your team room.

·      Students may eat

o   Inside in the team room or the Great Hall -Tables will be available.

o   outside the main entrance – some picnic tables.

 

5.    Heath Concerns: If you have a student that may require additional attention for any reason please contact me at ASAP that we can discuss any accommodations that can be provided.  Please note Extra time for an event is not an accommodation.  Students who require emergency medication such as and Inhaler or Epi- pen must carry them on their person.  There is no emergency medical staff such as a nurse present. Should an emergency arise the response will be to call 911 and/or Scarsdale Police/Fire Department.     

 

6.    Snow Date:   The decision to travel to the competition is completely up to you and your school district. There are alternate in person schedules that will allow a later start or earlier end due to inclement weather.  There is no option for a virtual competition.  Please inform your teams of this possibility and make arrangements in advance should we need to move to the Sunday snow date. Please do not have coaches, students or parents send emails requesting a decision or change in decision.

 

7.    TEAM GIFT: At some point during the day please stop by and pick up a small gift for all the students and coaches of the team courtesy of Scarsdale Middle School. (Should you need a few more let me know)

 

8.    Team SIgns -In the great hall you will find a science Olympiad poster with your school name hanging on the wall.  During the day have your team decorate the poster. You will need to bring your own supplies.  Bring the poster to the awards ceremony.

 

 

 

 

 

 

 

 

9.    Security and Emergency evacuation:

There will be a Security Guard posted at the main entrance in the building for the entire day and one at registration and roaming throughout the day. After registration the main entrance will be the only door that anyone can enter or exit the building. All outside doors are locked and cannot be opened from the outside with-out school key card.  Doors should not be opened to let anyone enter the building. They must use the designated entrances only.

 

Should the need arise where the school needs to be evacuated (i.e fire alarm rings) Escort the students out of the building using ANY nearest exit. Maps are posted in all the rooms near the door.  Everyone will meet by the parking lot (by basketball hoops) at the bottom of the school and meet in team number order from left to right (if you are facing the field). We will not renter the building until each team confirms all the students are accounted for.  If it is possible to resume the event for that hour, do so.  The next time slot should commence normally. Once we discover which events and teams were affected and how they were affected, a plan will be developed that allows all teams to compete fairly. We will be very flexible!.  Once a decision is made every team will be notified.

 

The only way to enter or exit the building are from the following locations:

1) Main entrance at the top of the Hill (great hall),

2) By the Lower Bus ramp by Registration Only during Registration. 

 

 The out of bounds area are as follows:

1. Any room, door or stairwell that is locked or not being used as listed on the schedule.

2. Any door other than the approved list of entrances.

3. Behind or to the side of any part of the school.

4. The ropes course outside of Fountain House or Great Hall or Butler House. 

 

10. Code of Conduct and Student Behavior- Please have supervision for your students.

I am writing this as a reminder & warning about student behavior.  Most teams, coaches and parents display excellent behavior and superior sportsmanship. Unfortunately during past regional competitions violating the code of conduct resulted in severe penalties in several cases. In hopes of preventing further issues the following amendment to the code of conduct will be in place. Any student/adult that violates the code of conduct by (but not limited to)

 

 

 

·      Unsupervised team room.

·      Entering an out of bounds area

·      Triggers the stair case alarm

·       Climbs on equipment/structures inside or outside the building

·       Vandalizing property

·      Criminal behavior (ie opening students lockers)

·      Parents entering a restricted area and or waiting outside events disrupting the transition of teams.

 

 The Following Penalties will incur:

·     Student and team will be disqualified from any event in which that student competed.

·      Additionally the team will also incur a 50 point penalty.

·      In the event that a team can be identified but not a specific student the highest scoring team from that school will incur a 50 point penalty. 

·      In the event where several students from the same school violate these rules, all teams from that school will be disqualified from the entire competition.

 

11. Appealing a judges decision: 

 

A judge has made a decision that you feel is incorrect you may file an appeal for the appeal committee to evaluate.  Try to talk to the event supervisor first to get information or solve the issue but must not disturb an event in progress.  This can be very difficult. It’s important (and Best) that the student during the event understands the issue whether it is a tier score in a building event, safety issue violation or reason for disqualification.  This way they can pass the information onto you.  Judges are required to inform teams of these issues and in the case of disqualification inform coaches as well. Probably the best way to get the information or start the appeal is to come to HQ and speak to Laurie Ciccone to facilitate the next steps if needed. If you are appealing an event that has a device, the device must be left at the event. Once removed no appeal can occur.  

 

You have an hour after the entire event concludes to start the appeal process.  Appeal forms can be obtained at HQ. Hopefully you will not have to use this form.

 

12. Finalization of scores:  The entire document can be viewed on the State website.

 

The results of all Regional and State Tournament events and team rankings will become final when the last team is entered into the scoring system. ANYTHING ABOUT THE EVENT WILL NOT AND CAN-NOT BE CHECKED AFTER THE EVENT SCORE IS ENTERED.  REULTS ARE FINAL AND CAN-NOT BE CHANGED.  ALL EXAMS AND SCORE SHEETS ARE DESTROYED FOLLOWING THE COMPETITION.

 

h) Final team rankings are available to the team coach after the close of awards ceremony.

 

i) Individual event tests WILL NOT and CAN NOT be reviewed by any team under any circumstances during and/or after any Regional Tournament or State Tournament.

 

 j) Individual event tests WILL NOT and CAN NOT be returned to any team under any circumstances during and/or after any Regional Tournament or State Tournament.

 

13.  Advancing to the State Competition:

 

·       Top 6 schools will receive an invitation to move on to the state completion. 

·       Trophies for team placement are given and announced only for your top finishing team. Only 1 trophy can be earned per school. Schools get trophies not, team.

·       If you qualify your school receives one invitation for one team to advance.

·       If you qualify for an invitation you will receive a registration packet at the awards ceremony. Your State team number will be included and the State schedule is posted on the State website, The turn around time is very quick. Get your registration to the State quickly.

Please read the directions attached for self schedule events.  Self scheduling will begin on Friday February 16th at 9:00 am and close Friday March 1st at 10:00am.  Any changes after Friday Morning can be done at registration.

Good afternoon Coaches,

 

I hope your preparations are going well.  Please expect an email about each week. I am very happy to announce that we are the second largest region in NY State. Based on our number of registered teams we will be able to offer 6 invitations to the State competition. Remember it is the school that earns the invitation each school may receive a max of one invitation.

 

Judging Assignments: Attached you find the judging assignments.  Each team must supply 2 judges. I took the coaches names from the ones listed on your registration form.  If you are not able to fulfill your obligation, please email the name of a qualified replacement. Preferably a teacher or adult with Science Olympiad experience. Missing a judging assignment is a 25-point penalty for the team. Please understand that over the next few weeks assignments may change as issues arise. If you know if anyone who would like to volunteer, let me know, I need 5-7 more judges/helpers.

 

There may be times when both coaches are not with the team due to judging responsibilities. You need to make sure your team room is supervised at all times. The event supervisor is the leader of the event with help from the other judges. Depending on the event please plan to stay 1-2 hours after the event to grade exams and rank teams. Arrange for Parent/Adult volunteers.  These people should also be prepped to help your students in your absence.  If your team needs help at any time contact HQ in the library by phone or in person.

Event Updates: 

 

·      Air Trajectory: 6.5 meter height -  Air Trajectory Gym C/D video

 

·      Tower:  Impound- Our region has a mandatory impound (not listed in rules). 

 

·      Flight:  Max height free of obstruction is 7 meters. The obstruction is in center of gym.  Higher height is possible but can not say it will be free of obstructions. The maximum diameter in gym free of obstruction is 17meters. Possible to have more but not free of obstruction.  Flight Gym A/B DImensions video

 

·      Wind Power: A copy of the design log must be submitted for grading during the exam portion of the event.  You may bring another copy, if needed, during the device testing part of the even See Video of Device mount.  WInd Power device mount
